Finding the Perfect Venue!
Once you feel ready to host a Sip & Script class, the next step is to tap into your network and brainstorm your class venues. The sky’s the limit here! You will be surprised at how many places are so open to creative and trendy events.
Remember it’s benefiting both you and the business to bring in a group of people! You want to keep in mind the Sip & Script aesthetic when brainstorming ideas. We try to stay away from large chain restaurants for example.
We want to stick to small shops and boutiques to start, local restaurants or bars in your town that are independently owned and operated. We find these places not only fit into the Sip & Script brand but also share the same mission of connecting with other small businesses in a mutually beneficial way. Hosting a private class for family and friends is also a great place to start so you do not feel too overwhelmed.
We will help you get started with venues we know and love to start out so that we can help you every step of the way! Once you feel comfortable, you can reach out and book as many locations as you wish.[/vc_column_text][qode_accordion style=”toggle”][qode_accordion_tab title=”Venue Outreach” el_id=”venue-outreach”][vc_column_text]This is the script that Jess uses to send to her venues when looking to connect and book an event! Feel free to make changes as needed to fit each venue, but for the most part, this script will work well!
Hi [NAME if you can find one on the website for the event manager, etc]
I hope this email finds you well! My name is Jess and I work with Sip & Script instructing classes. Our company spreads the art of modern calligraphy through fun, laid back classes at awesome venues. We partner with local businesses to host and collaborate at our events, making each class truly unique.
I’m reaching out today to introduce myself and to see if you might have an interest in collaborating with us to host a future Sip & Script event at [VENUE]. We strive to make each event a truly local experience by featuring other area artisans and goods, such as florals, unique craft cocktails, and design elements. Our goal is to create a one of a kind night for our students at each of our classes and think [VENUE] would be the perfect location for doing just that.
We supply all materials needed to learn the art of calligraphy or hand lettering and work with our venue partners to showcase their space and offerings. Our classes do typically sell out, and we guarantee a passionate and lively group, eager to post and share their experience with their network. Hosting a class on a slower night of the week is a perfect way to maximize unused space.
Please take a look at our website, www.sipandscript.com, and let me know if you have any questions on what we do and what exactly an event partner can expect. If you’d be interested in discussing a collaboration further, you can call me directly at ___________ or just reply to this email! It’s great to connect with you as a fellow New England business owner, and I look forward to being in touch soon.
If a venue says yes:
Hi [NAME]!
Thanks for reaching out regarding hosting a Sip & Script at your shop, [VENUE]. I wanted to follow up and provide a little more information on how our classes work.
We typically hold classes for 1.5 hours including instruction and one on one time as well as time to mingle/grab drinks or snacks etc. Tickets would be $65.00 each and it includes the beginner pack, so guests would not need to bring anything with them. We also supply the paper and fun decor materials (if we want to do a theme of any sort). For private events, you would provide any drink or snacks. We just need enough space for attendees to be able to sit with the beginner packs in front of them!
If this sounds like something you would be interested in, let us know and we can provide any marketing material you would like to spread the word. If attendees were going to purchase tickets themselves, we could set up a private link for them to order tickets through, or you could write us a check based on how many guests will be attending so we know what supplies to bring. We ask that you provide the guest count total a week prior to event date.
Right now we are booking through _________ and beyond. Let us know what you’re thinking for a time frame and day of the week!
Looking forward to hearing your thoughts! Thanks so much!

- Don’t stress if you don’t hear back from venues immediately! It happens to everyone, and depending on the time of year, some venues may take a bit longer for a response! Feel free to follow up 2 weeks after you initially connect!
- When booking events, it is helpful to test out different days of the week in your specific location. Some areas do better on weekends, where other areas are stronger during the week. Work with your venues to see what works best for them and their customer base.
- When booking classes, try to make sure you have enough time to market the event. Recommended booking classes AT LEAST 3-4 weeks out to ensure enough time for marketing!
- Try to avoid booking on major holidays (Christmas, Easter, Thanksgiving…), and consider other factors such as school calendars/school vacation dates, as class attendance can be affected.
- Always ask your venues to advertise with you on social media. It’s beneficial for both parties to get as many guests in attendance as possible! I like to send along some marketing photos (found in our stock gallery) along with the graphic for the event, to make it easier for them to reshare!
- Ask your venue contact if they’d like to participate in your raffle at the end of class. This can be in the form of a discount, gift card, physical item…etc. **Totally optional!**
- When booking events, see if venues want to book multiple at a time, this helps as you are building out your schedule!
- Create a Pre-Class item checklist with all of the tools you need to pack for class. This helps with making sure you have all the items that you need!
